View Access Summary for a User
Users and agents are often assigned to a varying number of groups or collections, making it difficult to track the assignments on an individual level. To simplify this process, the Users tool has a feature called Access Summary which provides a quick way to view all the group and collection assignments. The feature also allows you to export the data for better viewing efficiency for users with multiple assignments.

The Access Summary dialog consists of two panes, the Access Groups pane and the Collections pane.
Access Groups Pane – Displays a list of groups the user is associated with. These groups can be expanded to reveal the associated collections, or collapsed to hide the collections.
- Search Filter – Search field used to filter the list of access groups and associated collections displayed within the Access Groups pane. Enter text in this field to quickly find a specific group or a collection within a group.
- Export Summary – Clicking this icon allows you to export the Access Summary data in a CSV (Comma Separated Value) spreadsheet format.
- Expand All – Expands all available groups to reveal their assigned collections.
- Collapse All – Collapses all available groups to hide their assigned collections.
- Expand Access Group – Click to expand the access group and show its associated collections.
- Collapse Access Group – Click to collapse the access group and hide its associated collections.
Collections Pane – Displays a list of objects associated with the collection selected in the Access Groups pane.

Exporting the Access Summary data in CSV format provides a full view for multiple group and collection assignments. Once exported, you can open and view the file in a spreadsheet program such as Microsoft Excel. To export the Access Summary data, do the following:
- Click the Export Summary icon located next to the search field.
- Choose one of the following options when the browser download window displays, and click the OK button:
- Open with - Opens the file with the application selected, immediately after downloading.
- Save File - Downloads and saves the file to the computer's Downloads folder.
This step may vary depending on the web browser used, as each have a different download interface. Some web browsers may only prompt the you to pick a location to save the file.
- Open the exported file to view the Access Summary details.
